Senior Administrative Assistant - Finance/Operations
Purpose of Position

Provides administrative support to the Chief Financial Officer and Chief Operations Administrator to ensure the efficient operation the Business and Operations Offices.

Essential Duties and Responsibilities:
  • Performs executive level office duties including but not limited to answering phones, screening, responding to and directing calls, responding to or redirecting emails, opening, processing, and distributing mail, preparing, typing and maintaining forms, reports correspondence, and memos. Greets and assists visitors. Interacts with others in a positive and professional manner. Is discrete, diplomatic and listens attentively.
  • Responds to a variety of calls, concerns and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel.
  • Processes a wide variety of complex documents and materials for the purpose of disseminating information in compliance with program, district, state and/or federal requirements.
  • Prepares a wide variety of reports, documents, and correspondence of a confidential and non-confidential nature for the purpose of documenting activities, providing written reference, and/or conveying information.
  • Supports the Chief Financial Officer and Chief Operations Administrator in monitoring activities for the purpose of achieving goals and meeting target dates in compliance with established guidelines, regulatory requirements and the Amended Recovery Plan. Organizes and Attends Finance and Operations meetings as requested, including agenda development, recording minutes and providing follow-up.
  • Coordinates availability and attendance by necessary participants for meetings.
  • Schedules a wide variety of activities for the purpose of making necessary arrangements for Chief Financial Officer and Chief Operations Administrator. Disseminates information orally, by correspondence, or by distributing written materials pertinent to organization procedures and operations; provides requested information to written inquiries, visitors, staff, PDE, community leaders, parents, and the general public.
  • Designs and produces documents for presentations and reporting purposes. Compiles data from a wide variety of diversified sources (e.g. staff members, board members, community organizations, governmental agencies) for the purpose of preparing reports, making recommendations; and/or preparing information for assigned administrator.
  • Maintains a wide variety of complex manual and electronic document files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Maintains the master database of all contracts of the District and notifies appropriate administrator of upcoming renewals, need for bidding/RFP, or other related contractual matters. Assists in collecting and calculating information for the collective bargaining process.
  • Assists in various financial and program audits.
  • Is cross-trained in various functions within Central Office.
  • Maintains strict confidentiality in all aspects of job responsibilities.
  • Performs other duties as assigned.
  • Performs in accordance with school policy, administrative regulations, state and federal laws.

Requirements Minimum Training and Experience Required to Perform Essential Job Functions
  • Associates' Degree is required
  • 5-7 years relevant experience as a secretary or administrative Assistant
  • Excellent communication, organizational, problem-solving, and technology skills
  • Ability to do job responsibilities with minimal supervision and ability to schedule time to meet deadlines.
  • Ability to concentrate on the accuracy of detailed information, meet deadlines, multi-task, and work under pressure
  • Ability to exercise judgment for when to act independently and when to refer situations to a supervisor
  • Salary Range: $45,967 - $64,355
