Federal Program Specialist
Purpose of Position

Assists in all aspects of preparing applications, collecting data and completing reports for grants within the office of Federal Programs & Development to support compliance.

Essential Duties and Responsibilities:
  • Works in collaboration with district and school administrators, teachers, and support staff to support the office of Federal Programs & Development.
  • Monitors integrity of data to be used in analyzing data, evaluating programming, and reporting to the Pennsylvania Department of Education (PDE) and other grantors.
  • Assists in all aspects of data collection, entry, and management of which may include traveling to nonpublic and district school sites.
  • Assists in all aspects of federal, state or private grant monitoring to produce reports from data systems with information that supports district goals and objectives.
  • Assists in preparing federal applications, annual performance reports, and all other required federal grant reports.
  • Assists in preparing state and private grant proposals and required reports, including forms and tables.
  • Prepares purchase requisitions for materials purchased with grant funds and tracks receipt of all purchases.
  • Maintains purchasing and inventory records necessary as back-up for all expenditures funded through grants.
  • Keeps abreast of all personnel changes for grant funded positions and maintains an up-to-date listing of all grant funded employees with regard to name, location and salary.
  • Assists in preparing for all grant related audits, including but not limited to Titles I, II, III and IV.
  • Receives, prepares and transmits correspondence related to grant funded programs.
  • Actively participates in and successfully completes required trainings, in-service programs, workshops, and meetings.
  • Performs other duties as assigned.
  • Performs in accordance with school policy, administrative regulations, state and federal laws.

Requirements Minimum Training and Experience Required to Perform Essential Job Functions
  • Associate or Bachelor’s Degree in Information Systems, Business, Analytics, or Research; related field or equivalent work experience
  • Minimum of 3 years prior experience with state and federal grant writing and monitoring requirements; experience with database management and data entry;
  • Experience working in PK-12 education environment a plus
  • Ability to do job responsibilities with minimal supervision and ability to schedule time to meet deadlines
  • Original certificates of clearance from the State Police, Child Abuse Registry, and PDE FBI
  • Ability to manage information in Microsoft software and Google applications
  • Ability to concentrate on the accuracy of detailed information, meet deadlines, multi-task, and work under pressure
  • Ability to exercise judgment for when to act independently and when to refer situations to a supervisor
  • Ability to work flexible hours and schedules
  • Salary Range: $44,934 - $62,908
