Assistant Director of Facilities
<strong><u>SUMMARY</u></strong>:<br /> This position is responsible for assisting the Director of Facilities Management with the overall management of operations and maintenance of all district buildings, facilities, and grounds including the direction and supervision of custodial, maintenance, and grounds personnel.&nbsp; The Assistant Director ensures that all district facilities are in optimal condition to support the educational program and school/community activities in a clean, well-maintained, and safe environment.&nbsp;<br /> <br /> Interested individuals should <a href="https://www.applitrack.com/pinerichland/onlineapp/JobPostings/view.asp?FromAdmin=true&amp;AppliTrackJobId=351">click here</a> to apply.<br /> &nbsp;<br /> <strong><u>ESSENTIAL DUTIES AND RESPONSIBILITIES</u></strong>: <em>Responsibilities include, but are not limited to, the following:</em> <ul> <li>Develop, implement, and manage the district&rsquo;s custodial services program to ensure that all district buildings are regularly, efficiently and effectively cleaned and maintained.&nbsp; Focus to include routine, restorative, and seasonal cleaning programs.</li> <li>Maintain ongoing inventory of supplies and equipment required to perform custodial-related services consistent with established policies and procedures.&nbsp; Focus on supplies and equipment that will meet our needs, increase efficiency, and decrease costs.</li> <li>Oversee development and management of schedules and assignments for custodial employees.</li> <li>Direct and supervise all custodial staff; assist the Director with the supervision and scheduling of the maintenance and grounds teams.</li> <li>Track attendance and payroll through the TimeClock system for the department.&nbsp; Monitor staffing levels and alert the Director of Facilities Management and other administrators as necessary.</li> <li>Hire and train new custodial team members.&nbsp; Assist with the development of employee onboarding processes and documentation (e.g. PR Academy).&nbsp; Ensure new employees receive adequate training and supervision for a smooth transition.</li> <li>Operate as the department subject matter expert and remain current on best practices and safety measures for all aspects of custodial services (and chemicals), and implement and/or modify existing processes as required.</li> <li>Train custodial staff on best practices in the areas of chemical handling and usage, cleaning for health, use of new equipment, and district policies and procedures.&nbsp; Develop and implement audits to ensure these policies and procedures are being followed.</li> <li>Develop, maintain, and publish training content on the department training website.</li> <li>Assist with planning and delivering department trainings typically offered during in-service days and summer break.</li> <li>Actively participate in department continuous improvement initiatives to evaluate and refine current processes.</li> <li>Establish professional relationships with building administrators and conduct meetings as necessary.</li> <li>Publish and communicate custodial services expectations and schedules regularly.</li> <li>Under the direction of the Director of Facilities Management, assist in the overseeing of contractors and vendors to compliance with work orders, contracts, and specifications.</li> <li>Operate as a subject matter expert on the department work order system (currently MasterLibrary), &nbsp;creating content for and automating as many custodial and maintenance activities as possible.&nbsp;</li> <li>Assist the Director of Facilities Management in scheduling all preventive maintenance and required inspections while also ensuring documentation of related work performed by department personnel.</li> <li>Assist with evaluating and life-cycle planning for District capital assets.&nbsp; This process includes documenting assets, performing condition assessments, determining useful life, and budgeting for future maintenance and repairs.</li> <li>Participate in the annual Capital Funding Plan budgeting process.</li> <li>Assist Director of Facilities Management with the development of departmental budgets</li> <li>Understand indoor air quality procedures and EPA guidelines.&nbsp; Assist with required testing for mold, allergens, radon, asbestos, lead in water, and legionnaire&rsquo;s bacteria.</li> <li>Learn and have a working knowledge of building automated control systems and critical building electrical, HVAC, and life safety systems.</li> <li>Perform regular building checks to monitor work schedule and trouble-shoot problems.</li> <li>Support and/or serve as a member of district emergency/crisis response and safety teams.</li> <li>Monitor and supervise evening/weekend facilities use by school, community and other outside groups.</li> <li>Perform weekly checklist audits.</li> <li>Assist maintenance and custodial staff with building maintenance, as needed.</li> <li>Assist custodial staff with the upkeep and cleaning of district facilities, as needed.</li> <li>Regular and timely attendance.</li> <li>May be on-call 24 hours/day and/or required to work emergency shifts, as needed.</li> <li>Provide effective leadership in a union environment.</li> <li>Receive and address employee concerns and participate in the resolution of grievances filed under applicable collective bargaining agreements, as necessary.</li> <li>Conduct performance evaluations of all custodial staff and provide regular feedback to team members.</li> <li>Participate in and make recommendations regarding staffing decisions and the hiring process.</li> <li>Provide information and recommendations to administration concerning policies, practices, and contractual issues relating to the custodial department.</li> <li>Perform all duties in accordance with applicable local, state, federal laws and School Board Policies.</li> <li>Maintain knowledge of applicable laws, rules, practices and policies.</li> <li>Regular and timely attendance.</li> <li>Respectful and professional interactions with community, colleagues, co-workers, students, and district staff.</li> <li>Other duties as assigned by the Director of Facilities Management.</li> </ul>

Specific supervisory responsibilities include hiring and training employees; assigning and directing work; inspecting and evaluating work and overall performance; and addressing and resolving complaints.<br /> &nbsp;<br /> <strong><u>EDUCATION AND EXPERIENCE</u></strong>:<br /> High school diploma required. Additional specialized training desirable (i.e., technical school, trade school, apprenticeship programs, certification area). Experienced in all phases of the cleaning process. Experience in public education desired.&nbsp; Basic levels of troubleshooting for all trades and familiarity with building control systems are desired.&nbsp; Able to understand and interpret architectural drawings and construction drawings; familiar with local, state and federal codes/ordinances as they apply to operation of school facilities.<br /> &nbsp;<br /> <strong><u>CERTIFICATES/LICENSES, REGISTRATIONS</u></strong><strong>:</strong><br /> Incumbent must be willing to complete training programs as required from time to time by district policy and/or federal, state or local law.&nbsp;&nbsp; Must have and maintain a valid Pennsylvania driver&rsquo;s license, and obtain all criminal and child abuse clearances required under applicable law.<br /> &nbsp;<br /> <strong><u>CONFIDENTIALITY</u></strong><strong>:</strong><br /> Respect and maintain the privacy of staff and students.&nbsp; Keep records and personal communications secure and confidential.&nbsp; Be knowledgeable of and comply strictly with all laws and legal requirements regarding confidentiality of student and personnel records.<br /> &nbsp;<br /> <strong><u>LANGUAGE SKILLS:</u></strong><br /> Ability to read and interpret critical documents such as safety rules, operating and maintenance instructions, and procedure manuals.&nbsp; Ability to write routine reports and correspondence.&nbsp; Ability to communicate effectively, both orally and in writing, with employees, contractors, subcontractors, suppliers, school district staff and Board of Education.<br /> &nbsp;<br /> <strong><u>MATHEMATICAL SKILLS</u></strong>:<br /> Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
