Payroll Clerk

Payroll Clerk needed for our Business Office.

Available immediatelypermanent full time position. 

Classification - Confidential  - Salary Range $30,000-$40,000

 

MAJOR FUNCTION: In accordance with established procedures, perform efficiently and accurately the detailed payroll functions and to work in consultation with the payroll coordinator.

 

ESSENTIAL FUNCTIONS: Employee must have the ability to perform the following essential functions on a timely basis with or without reasonable accommodations.

1. Compile, review and enter time and attendance records, assure accuracy and contact various departments for any missed support. a. Timely and accurate review, data entry, reconciliation of timesheets for each pay. b. Entering all District Attendance in the payroll system. c. Answering questions from secretaries and employees. d. Reconciling leave balance reports. e. Coodrinating leave with Payroll Coordinator for pay deductions. f. Resolve attendance record discrepancies; including monthly review of system balances, investigation of “negative” balances, and prompt communication of discrepancies with departments. g. Check temporary staffing company time sheets against District attendance for each pay.

2. Update payroll records due to changes in employee residency, withholdings requirements, exemptions and assure receipt of supporting documentation as defined within departmental procedures.

3. Create and maintain files for all active and terminated employees.

4. Maintain records and issue reasonable assurance letters for all necessary employees.

5. Review Unemployment Reports for accuracy of credit-week reporting.

6. Coordinates and validates direct deposit processing.

7. Complete domestic relations and child support forms and supply documentation.

8. Timely issuance of all withholding payments.

9. Reconcile Payroll 3 checks with supporting documentation for each vendor.

10. Manage all payroll functions related to New Hire Onboarding through TalentEd.

11. Prepare manual checks/Issue stop payment requests.

12. Assist in checking pre calculation for payroll.

13. Assist Benefits Specialist when needed.

14. Maintain W-2 forms and provide copies when requested.

15. Assist in all departmental maintenance/duties under the direction of payroll coordinator.

16. Act as alternate for the payroll coordinator, which includes but is not limited to periodically performing the payroll coordinator’s processing functions.

17. Answer telephone inquiries.

18. Open, date and distribute department mail.

19. Organize and distribute communications. 20. Answer e-mails from District employees.

QUALIFICATIONS: To successfully perform this position, a person must be able to perform each primary duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skills, and/or ability necessary. 

1. Knowledge of the principles, practices, and techniques utilized in payroll and accounting operations and activities and financial record keeping and related bookkeeping procedures

2. Strong computer skills required, including intermediate-level of knowledge of Microsoft Office.

3. Utilize eFinancePlus

4. Strong interpersonal, organizational, oral and written communication skills.

5. Strong math/accounting skills.

D. Ability to lift and/or exert up to 20 lbs. of force to occasionally move objects.

E. This job requires the ability to observe, inspect, identify, and determine accuracy of written documentation and fine details. F. The position requires meeting deadlines with severe time constraints, interacting with staff and the public, and occasional, irregular, or extended work hours.

G. Some/occasional local travel may be necessary: Must be able to provide own transportation to school related functions/meetings, community agencies and schools throughout our service area.

H. The employee is frequently required to interact in person and by phone or e-mail with the public, students, parents, staff, other administrators, board members, and community agencies.
