Requirements
  1. Processes invoices for payment and maintains appropriate records; prepares and processes checks; performs and coordinates all accounts payable related data entry; validates and processes district-wide purchasing, and obtains comparative quotes from vendors for all funds.
  2. Maintains the inventory of office supplies
  3. Receives all invoices and purchase orders for the district; enters the invoice information into the system for processing payments; processes all utility bills; and maintains information in a spreadsheet.
  4. Processes credit card statements for payments
  5. Prepares and processes bids for the districts, creates bid memo to be sent to school secretaries and Central Office along with the bid sheets per category and, the Bid Report for Board approval 
  6. Approves and maintains all vendors including but not limited to the annual update of W9’s
  7. Prepares check disbursement report on a monthly basis to include bills that have been paid and that need approval by the Board
  8. Prints and mails all checks (system generated or manual) for the district.
  9. Prepares and processes bids for the districts, creates bid memo to be sent to school secretaries and Central Office along with the bid sheets per category and, the Bid Report for Board approval 
  10. Enters purchase order requisitions into the system and processes any necessary steps to see that the purchase order process has been completed
  11. Contacts vendors regarding payments, purchase orders, credits, or other information needed and prepares all vendor credit applications and tax-exempt forms
  12. Approves and processes all requisitions and purchase orders.
  13. Prepare bid purchase orders and process District purchase orders according to District guidelines
  14. Print all purchase orders, mails, and distributes copies appropriately.
  15. Coordinate, distribute, and calculate District bids for board approval
  16. Serves as District Liaison for vendors
  17. Assist with annual audit preparations, as well as, request for State or Federal auditors
  18. Performs all other duties as assigned by the Director of Finance and Operations.
