Business Office – District Payroll/Benefits Coordinator


Confidential - 8 hours per day – 12 months




Major Responsibilities

  1. All aspects of Payroll for the district
  2. Maintenance and confidentiality of all payroll records
  3. Cross-training within the Business Office will be expected
  4. Time clock liaison with employees


Duties and Responsibilities

  1. Oversee district bi-weekly payroll
  2. Process payroll in the time frame required to cover all transfers, deposits, and direct deposits, without overdraft
  3. Compute and deposit all tax and benefit deductions to the proper accounts
  4. Compile all required payroll and benefits reports (FICA, Earned Income, FIT, etc.)
  5. Complete and distribute annual W-2 forms
  6. Set up and calculate 403b/457, working with the TPA
  7. Maintain and update employee benefit files
  8. Complete, report, and reconcile PSERs monthly
  9. Assist CFO with salary information/prepare spreadsheets for all employee group contracts and agreements
  10. Verify employment and income with financial institutions
  11. Respond to payroll questionnaires
  12. Liaison for tax shelter annuity programs and prepare monthly billing
  13. FMLA tracking and requirements
  14. Assist in preparation of monthly billings for health, life, and disability insurances
  15. Update quarterly Access spreadsheet and reporting
  16. Research and respond to Unemployment claims
  17. Work in a close continuing relationship with the CFO for collective bargaining, including but not limited to the preparation of proposals with the District’s various unions
  18. Works cooperatively with all stakeholders (i.e. peers, administrators, external vendors, banking contacts, and other agencies)
  19. Enter/maintain current salary and benefits for all employees for PIMS reports
  20. Assist CFO with reconciliation of all payroll accounts on balance sheet
  21. Perform other duties assigned by the CFO, Superintendent, and/or Assistant Superintendent
  22. Reports directly to CFO

Priamary Location:  Administration Office
Salary:  Hourly, based on experience

Requirements Proposed

Requirements for the Position

  1. Post-secondary degree in business, Specialized certificate in Payroll, or equivalent experience in payroll required
  2. Demonstrated advanced knowledge of HRIS, IRS sites, Excel proficiency
  3. Proven effective verbal and written communications skills
  4. Effective business skills in a technological environment
  5. Knowledge and experience with health/medical benefits
  6. Background and knowledge in Human Resources (i.e. HRIS, IRS sites, FLSA regulations, and PSERs)
  7. The individual’s credentials are in compliance with all federal and state laws and regulations governing individuals functioning in the capacity of this position
